All Estimates contain a copy of the Master Price Book in the state it was in when the Estimate was created.  When the Master Price Book is changed these changes are not automatically applied to the Price Book within an Estimate.

You can synchronise the Price Book in an Estimate either to or from the Master Price Book.  You may have used the mass-editing tools in your estimate to edit the resource prices or adjustments and want to synchronise those changes back to the Master Price Book or you may have downloaded prices to the Master Price Book and want to bring them into the Estimate.

In some circumstances you may receive an error message while in a Workbook and see '#NA' where you would normally see a cost, this can be caused by a missing resource.  This might happen if you add a Workbook to the Estimate that was released and added to the software after the estimate was created, the new Workbook might be looking for resources that are not yet in the Estimate Price Book.

Please note that the synchronise process uses the last modification date of the resources to decide which is the newer price, the date column is displayed in the price book. If you have made changes to the prices in your estimate price book and then completed a price download for the master price book, the changes you have made in the estimate price book wouldn't synchronise to the master price book as the master price book version would have a more recent date. To get around this problem, you could edit the price of the resource in the estimate price book and then edit it back to the correct price to give it a newer date and then complete a price book synchronisation.


Synchronise a Price Book within an estimate

Open your estimate.

Click on the Price Book tab, open the material section when prompted.

Click the Synchronise button on the top menu.

You can now choose to synchronise only the section of the Price Book you are currently in or all sections of the Price Book.  If you tick Download latest Material prices from the online catalogue, EstimatorXpress will download prices before synchronising the Price Book.

Click Next

If you would like to completely refresh the price book then click Synchronise ALL Resources and Prices.

If you are trying to fix a #NA issue or specifically wanting to bring across new resources from the Master Price Book, click Synchronise only NEW Resources and their associated Prices.

Click Next

The default direction should be From the Master Price Book to this Price Book.  You would choose From this Price Book to the Master Price Book' if you had made changes to the job price book and wanted to apply them to the Master Price Book.

Click Finish.


Synchronise a Price Book within 'My Settings'

If for some reason you have created your own Price Book, completely separate to the Master Price Book you will need to synchronise this Price Book after completing a price download as the price download will only update the Master Price Book.

From the main menu click on My Settings

Click on My Price Books.

Open your Price Book, either by double clicking on it or single left-clicking and then clicking the Open Price Book button. Open the Material section when prompted.

Now you have your Price Book open click the Synchronise button on the top menu to synchronise the Price Book.

You can now choose to synchronise only the Material section of the Price Book or all sections. If you want to download and bring across the latest prices you can tick the box labelled Download latest Material prices from the online catalogue

You can now choose to Synchronise all resources and Prices or Synchronise only NEW Resources and their associated Prices (these are resources not already in your Price Book)

Select the direction as From the Master Price Book to this Price Book and click Finish.  If you had resources in your Price Book and you wanted them in the Master Price Book you could choose to synchronise From this Price Book to the Master Price Book.
